Policies and Procedures: Building Rental

Purpose

The theater represents a physical asset to our organization and this policy sets forth the basic issues of protecting that asset. The building can be used for parties, social events, meetings, dance recitals, etc., by casts or any other group with prior permission of the Board of Directors (prior permission is a requirement).

Policies

  1. Any outside organization may rent the facility for a rate set by the Board of Directors.
  2. Non Profit:
    1. $300 per day, up to 5 hours. $50.00 for each additional hour.
    2. Rehearsal Clavanova or Spinet Piano: $50
    3. Performance Clavanova or Spinet Piano: $120 (includes piano tuning before the show)
    4. Cancellation fee: No cancellation fee if 7 or more days notice; otherwise: 50% of total rental fee
    5. High impact usage fee (example: bands): 50% additional premium
    6. Non-refundable cleaning fee: $50.00. (You are expected to clean the trash from dressing rooms, etc).
  3. For Profit Use:
    1. $500 per day, up to 5 hours. $65.00 for each additional hour.
    2. Rehearsal Clavanova or Spinet Piano: $75.00
    3. Performance Clavanova or Spinet Piano: $150.00 (includes piano tuning before the show)
    4. Cancellation fee: No cancellation fee if 7 or more days notice; otherwise: 50% of total rental fee
    5. High impact usage fee (example: bands): 50% additional premium
    6. Non-refundable cleaning fee: $75.00. (You are expected to clean the trash from dressing rooms, etc).
 
  1. Cast parties are permitted without cost to the cast.
  2. Requests for parties must be made to a Board member 24 hours before the event.
    1. The exception is closing night cast parties that may be held in the theaterwithout prior approval.
  3. Only Board members will call around if a phone/voice vote is required.
  4. The Board always retains the right and option to establish rules and guidelines for any party or parties for the protection of the guests, the property and/or the building.
  5. The Box Office Manager, Director for Maintenance, or the Director for Production can suspend the permission for a granted of party if there is a concern of safety, health, or theater property/liability (precedent set by example on 2/21/96).
